Professionalism and preparation are vital to ensuring continuity of learning for our students during a teacher’s absence. Whether an absence is planned or unplanned, the following protocols must be followed to maintain our high standards of student engagement and campus organization.
1. Immediate Notification (Unplanned Absence)
If you are unable to attend school due to an unplanned absence, you must notify the relevant Director of Campus Organisation via phone call or text no later than 7:00am.

When messaging, clearly state:
- Your full name.
- Your specific area of the school (e.g., Primary, Secondary Science).
- The duration/times of your absence.
2. Lesson Instructions & “Extras” (SIMON)
All teaching staff are responsible for ensuring that their classes remain productive. You must provide clear instructions via the Learning Areas > Replacements/Quick Lesson Plan tab on SIMON.
- Deadline: Instructions must be uploaded before the beginning of the school day.
- Quality of Work: All assigned work must be engaging. Please avoid vague instructions such as “private study” or “continue with previous work.”
- Replacement Notes: Use the Staff Notes section to provide crucial information regarding specific students or classroom management.
- Note for Primary Staff: Please also refer the CRT to the physical Information Folder located in your classroom.
3. Planned Absences (Excursions, PL, etc.)
If you have a foreseen absence, preparation must be completed in advance:
- Digital Instructions: Assign work for the relevant dates via the SIMON Replacements tab prior to your leave.
- Physical Materials: Place any required worksheets or resources in the appropriate box in the Staff Lounge before your leave begins. Mention in your SIMON instructions that these materials are ready for collection.
4. Printing & Support
- Early Printing: If you require documents to be printed for an unplanned absence, email them to [email protected] no later than 7:15am on the day.
- Colleague Support: Alternatively, you may contact a colleague directly to assist with organizing any necessary printing.
5. Leave Documentation
- Submission: Complete an Online Staff Leave Form (found on the SIMON home page) before a planned absence or immediately following an unplanned one.
- Approval: This form is routed electronically to the Principal for approval and subsequently to the Pay Office.
